To upload an order you first need to export it out of c9. Exporting is similar to printing except it is saved as a file on your computer which is then to be uploaded into Yamaha YDC website.

Step 1: export from c9

Spares -> Orders -> Export. Select yamaha order you want to export.

Select export method 'Yamaha'

Key in following:

yam

Dealer Code & User ID: As Provided by Yamaha

Optional details: shipping preferences.

Export Settings:  Setup a folder c:\yamorders\ or something similar.

Now when you click OK c9 will create the above file for you.

Step 2: login to YDC net website

Login to Yamaha Dealer Portal and select YDCNET: https://yvpn.ydcnet.com/

Firstly, select Parts, then Order and Send Order File

Click Browse to select the file exported from C9 in step 1 above. Then select submit.

Step 1: export from c9

Spares -> Orders -> Export. Select honda order you want to export.

Select export method 'OPEA'

Key in following:

honda

Company ID : Hond

Dealer Code: Your dealer code as provided by Honda MPE

Dealer Phone : phone number for shop

Export Settings:  Setup a folder and file name.  c:\honda\ and honda.snd works fine.

Now when you click OK c9 will create the above file for you.

Step 2: login to honda dealer net website

https://www.dealernet.net.au/members.aspx

Get username/password from Honda MPE

Under parts click on "Parts Quick Order" - this will take you to HOOS system.

Step 3: upload order

Click on DMS on the left hand menu, then click Load a DMS File

Click Browse, and navigate to where you saved the OPEA file (i.e. c:\honda) and select it. Honda.snd

From here you can then accept/approve order. Order should now be submitted.

 

C9 allows you to define a part number that is composed of multiple other parts. As a kit. To do this:

1. Goto spares -> Add part.

2. Create your 'kit' part under the accessories franchise.  Make sure qty, maxqty,minqty are all 0.

Note: the kit part must be accessories, but it can be composed of parts from other franchises. You may have a kit composed entirely of KTM parts, but the kit part must still be an accessory part

3. After adding part, go into point of sale, key in the part and highlight it and press F6 to view/modify.

4. You should see below. Press edit kit components to tweak the components.

Mail server configuration is accessed via messenger service for c9 which is a system tray service.

It will run on one computer in the shop only. Locate the computer, find the c9 icon in bottom right, press right mouse button on the icon and select Restore.

Then click on settings in messenger to access email settings.  As to what to key in, your email provider will be able to supply this information.

Encountered enough of these to make it worth while adding a page on them. Also the manual is 400 pages long, which is a bit excessive to work through for simple, common task of adding STX, so here is a cheat sheet:

c9 provides integration support into PayPal as a payment gateway for c9 based websites. Paypal provides key features which are essential for this industry.  The key challenge with webshopping is that in this industry it is not possible to know the final price at point of checkout on the website.  Issues surrounding freight issues and parts interpretation require an order to be vetted before it is billed.  c9's integration into PayPal works similar to a hotel booking,  the amount is only reserved at point of checkout.  Point of sale operations in c9 will communicate with PayPal and finalise final payment amount capture.

 Step 1 : get a verified merchant account with PayPal

To configure PayPal, you need to enable merchant services with PayPal and get your merchant details verified. This process can take a few weeks, contact PayPal to arrange.  Once done, the following steps show you how to get c9 integrated into PayPal.

Consider the scenario : you are not a Honda or Yamaha dealer and you purchase Honda/Yamaha parts from the nearest Honda/Yamaha dealer.

There are two ways to do this in c9. One way is you add the other dealership as a franchise in c9 and add parts as you require. This is the older method of handling this in c9, but a much better method now exists.

The approach recommended is as follows:

  •  Add honda and yamaha as franchises into c9. So franchises track manufacturers. Get prices files as required, e.g. via the 'import from other c9 dealers' option in import price file.
  • Add the the other dealership as a accessory supplier.
  • Configure them so when you order honda or yamaha parts they actually go onto an order directed to the other dealership

This method has a number of advantages:

  • You have full price lists for manufacturers. No need to add parts manually on a as needed basis
  • Orders for Honda and Yamaha are merged together, no need to send 2 orders to the supplier.
  • You can tweak parts individually and source them from elsewhere. Maybe the local shop doesn't have the clutch cover you need? But an interstate dealership has it?

How to configure this

Firstly, goto Spares -> Utilities -> Edit Suppliers. Add your supplier.

C9 includes a facility which allows you to embed fiche data from other c9 dealers.

C9 dealer websites allow you to shop online and search fiche diagrams for dozens of manufacturers.  But instead of having to toggle between your web browser and c9 to view Bolton KTM parts diagrams for example, you can have Bolton KTM diagrams accessed within your c9. It is as though c9 is a specialised, integrated web browser for fiche diagrams.

Setting it up

You require 3 things.

  • Add the franchise into your c9
  • Get a price file for that franchise
  • Link that franchise to another c9 dealer website

Following formula for Stamp Duty in New South Wales.

Given Stamp duty is calculated at (please verify if following is correct at time of reading before applying this formula):

  • 3% of the market value up to $45,000
  • 5% on the value over $45,000.

Full formula:

Simplified formula (assumes you never sell bikes above $45k)

Creating a new job card

When creating a job card, c9 will automatically import checklist based on job type. Changing job type in modify job will automatically update/ merge in different checklists

Managing checklists

You can also merge in global checklist groups when you create a new job.

Check list management works on job types, new jobs, complete/pickup jobs. Modify jobs and estimates.

You can add additional checklists specific to the job you are working on as well.

Checking and unchecking options

Modify a check list during complete/pickup job/modify job to indicate whether or not the item is good, bad or not applicable.  This will print a tick or cross next to the checklist item on the invoice.

If you flag a group option as good or bad, then all sub options under it will default to this value.  Saves you having to check everything. On sub options you can check them as well to override. So if all is good except one, flag the parent as good and flag the bad one as not good.
